From quote to a scheduled job

  1. 1

    Build the quote

Add line items from your pricebook, then set tax, discounts, and notes so the customer sees the same work you intend to do.

  2. 2

    Send the approval link

Email a link to the public approval page. Completing a job does not send the estimate.

  3. 3

    Wait for accept or decline

The customer reviews the quote on the public page and accepts or declines. Accepted, declined, and still-open quotes stay on the estimate record.

  4. 4

Turn accepted work into a job

After they accept, convert the estimate and pick the visit time and technician. Accepting the quote does not put the job on the calendar by itself.

Example: A water-heater quote the customer can approve

The office quotes a 50-gallon swap from the pricebook and emails an approval link. James Thompson opens it without an account and accepts. The office then converts that estimate into a Tuesday morning visit instead of retyping the work onto a new job.

Build the quote from your pricebook

Create estimates with line items, taxes, and notes so the customer sees the same work you intend to do. Reuse saved services, supplies, labor, and equipment instead of typing every line.

Approvals that turn into scheduled work

Send an approval link by email, collect a signature when you need one, and convert accepted estimates into jobs. Accepted, declined, and converted work stay on the estimate record.

Questions owners ask before they send a quote

Does the customer need an account to approve?
No. The approval link opens a login-free page. They can accept or decline there, and sign when you ask for a signature.
Does accepting the estimate schedule the job?
No. You convert an accepted estimate to a job and pick the time. The quote and the calendar stay separate until you do that.
Can I invoice from an accepted estimate?
Yes. After it is accepted you can create an invoice from that quote so the bill matches what they approved.
Can technicians create estimates from the field?
Technicians can start an estimate from an assigned job. Standalone new estimates stay an office action.
