ServiceTitan import guide

ServiceTitan migration checklist

Export the files ServiceTitan gives you, clean them, and import in order. This is a file import. It does not move saved cards, and it does not change anything still in ServiceTitan.

Recommended order

  1. 1Export customers, locations, jobs, invoices, estimates, and pricebook files
  2. 2Remove blank rows, report totals, and extra header rows
  3. 3Import customers, then locations, then jobs
  4. 4Import invoices, estimates, and pricebook items
  5. 5Check a few records before the crew starts working in the account

Import notes

These notes explain how this source is handled before you review the final mappings.

Things to know

  • Locations are required for multi-site customers. Jobs often point at a location id instead of a full street address.
  • Write down QuickBooks, card processing, and any review or texting tool before cutover. Those connections are not inside the spreadsheet.
  • Saved cards and bank accounts do not import. Paid amounts and open balances can. Connect Stripe again in True Blue Service if you want to charge cards here.
  • QuickBooks Online sync is a separate setup after the file import. It is not turned on by the spreadsheet.

Imported when available

  • External IDs
  • Location links
  • Business units
  • Warranty metadata
  • Tags
  • Invoice balances

Not imported

  • Saved payment methods
  • Passwords
  • Report-only subtotals
  • Fields with no matching destination

Before you export

  • Keep one header row. Delete blank rows, page footers, and report total rows.
  • Keep customer, location, and job IDs in the file. Later files match on those IDs.
  • List what else the shop uses: QuickBooks, card payments, review requests, and texting. Plan each one on its own.

Test the import

  • Map the columns and read the preview before you finish the import.
  • Open one customer with two service addresses, one job, and one invoice. Confirm the job sits on the right address.
  • Invite technicians only after those records look right. Employee passwords are never in the file. You send invitations.

If you need to stop

  • The import does not edit or delete your ServiceTitan account. Keep the export files.
  • If the preview is wrong, stop and fix the file. Do not invite the crew onto a bad import.
  • There is no one-step undo after a finished import. A later file can update matching rows, which is not the same as restoring the first try.
